I. University Employee Identification
UO ID Number and Duck ID
At the University you have at least two "usernames:” your UO ID number, and your Duck ID.
Your Duck ID is for general use; it is used for logging into Canvas course management software, UO net (wireless internet), e-mail; just about everything except…Duckweb. Your UO ID Number is used for Duckweb and is separate from your Duck ID.
Activating your UO ID: DuckWeb
You will need your UO ID number first, so let’s start there. This is often called your “95” number because everyone’s number begins with these two digits. It is used for logging in to DuckWeb, which serves as sort of a business management center for you at UO, where you can see your courses, input term grades, view course evaluations, view your paychecks, manage direct deposit information, update your address and personal information, etc.
When you are hired at UO, you will be assigned a UO ID number, and you will also have a Personal Access Code (PAC) which will be the password associated with your UO ID number. If you have not received a PAC yet, you can contact Human Resources at 541-346-3159 to request an initial PAC that will enable you to log in, get started and reset your PAC to something memorable and secure. Visit duckweb.uoregon.edu for more information about the UO ID number and login process.
If you have previously been employed by the University, your UO ID number will remain the same but may need to be re-activated by HR for your new term of employment; once your contract has been processed, you should be able to have your PAC reset the same way by checking in with the HR department.
Activating your Duck ID
Once you have a UO ID number and have set up your PAC, you can claim your Duck ID. The Duck ID serves as your UO username, and will be the part of your UO email address that comes before the "@uoregon.edu" (example: email@example.com). If you don't have a UO email account, it is likely that you still need to claim your Duck ID.
If you are new to the university you can claim your account by visiting duckid.uoregon.edu. Click on the Claim Your DuckID link and follow the instructions. You will need your UO ID Number and your PAC. (Your PAC is the password you use to log in to DuckWeb; see the UO ID section, above).
If you have previously been employed by the University, your Duck ID number may have been deactivated when your contract term ended, but should be re-activated several weeks before your new contract term. You may need to reset your Duck ID password after your UO ID and PAC have been reactivated (see above); if this does not work and you have trouble accessing Canvas or your email account, please contact Ann Kokkeler (firstname.lastname@example.org) for assistance.
Once you have your Duck ID set up, you can access e-mail via the web at https://outlook.uoregon.edu/, and you can configure your UO e-mail for iPhone, etc. using the resources found here. According to UO communication policy, faculty should use UO e-mail accounts for communication with students, and to access the University’s course management system. You should plan to check your UO e-mail regularly as it will also be the route of communication for most official University business, including employment documents, departmental notices, and communication from students and the Registrar's office. Information about forwarding your UO e-mails to another account is available here. The College of Education Information Technology support staff is happy to assist should you encounter any challenges (including issues with forwarding e-mail if you are using Exchange or Outlook accounts); they are available in the HEDCO Learning Commons (541-346-7616 or submit a job ticket here).
ID Cards and Keys
Faculty and staff are issued identification cards and any needed keys after the initial appointment has been made and your UO ID number has been established. ID cards and keys are issued by UO Card Services in the new Erb Memorial Union (EMU), room 002 on the Ground Floor, Oregon Plaza area, from 8:00 am through 4:45 pm Monday through Friday (bring a photo ID with you). You can save time by submitting your own selfie for your UO-ID card online in advance at the UOcard website, or you can have your photo taken at the office. The card entitles you to use various UO facilities and, if your annual FTE is .50 or greater, to ride the local bus system free. The ID card is also a proximity card which can grant after-hours access to buildings and parking garages if needed; this access can be authorized by Jennifer McGovney (email@example.com).
If you will need keys, Eric Owens (firstname.lastname@example.org) will issue a key authorization card, which you will take to the same UO Card Services Office in room 002 on the Ground Floor of the EMU to receive your key after providing a refundable deposit ($10-20 depending on the key). Key services are available from 9:00 am until 4:30 pm Monday through Friday.
II. Benefits and Pay
Payday is the last working day of each month. Direct deposit is highly recommended and can be set up through DuckWeb using your UO ID number. Questions about payroll or concerns about your paycheck may be directed to Jennifer McGovney.
New employees eligible for benefits (0.50 FTE or more) have 30 days from date of hire to select and enroll in the UO benefit program. Register for an Employee Benefit Orientation session here. The work environment at the University of Oregon, including teaching, research, service, equity and inclusion, hiring, retention, promotion and tenure, is governed by the Office of the Provost and Academic Affairs.
III. Finding Your Way and Parking (cars and bikes)
Here is a College of Education map detailing the Lokey and HEDCO buildings and the closest faculty and staff parking, and here is a general UO interactive campus map which can be used to search for other parking, buildings, etc. On the UO map, if you click the "Indoor" option on the upper right, and then click on the building, you can zoom in on an interior map of rooms to find your assigned classroom.
All motor vehicles parked on the University of Oregon campus, except those parked in metered spaces or licensed with State of Oregon 'E' plates, must display a valid University of Oregon parking permit. Vehicles that do not display the proper permit or are improperly parked will be issued a citation.
Faculty/staff parking permits are available for purchase by employees with faculty status and to employees appointed half-time or more in the management and classified service. Graduate employees (GEs) must be certified by their department heads or deans to be eligible to purchase a faculty/staff parking permit.
Qualified employees may obtain parking registration materials and instructions from Jennifer McGovney (email@example.com), or from the Department of Parking and Transportation. The signature of an authorized department representative is required on applications for faculty/staff parking permits. Permit registration must be renewed annually; however, you may add or remove vehicles from your account at any time.
If you bike to work, here is a useful map with bikeways and bicycle parking noted. In addition to ample free bike racks around Lokey Education and HEDCO buildings (and all over campus), you can purchase access to secure, covered bicycle parking in the locked (ID proximity card access) bicycle cage or individual bike lockers, both located near the HEDCO building (as well as other locations on campus). Visit the Department of Parking and Transportation at 1401 Walnut St for rental access to bike cages and lockers around campus.
IV. Computers, Files, Copies, and Room Use
Access to Microsoft Office 365 software and cloud storage
All UO faculty and staff (as well as students) have free access to the Microsoft Office 365 applications including Word, Excel, PowerPoint, OneNote and more, depending on your operating system, as well as the OneDrive cloud storage system, which can be used to store and share large files. Copying, mail and office supplies
The department copier is located in the Education Studies office, in Lokey Education 124; office hours are 8:00 am – 5:00 pm Monday through Friday. Please be aware of copyright and fair use guidelines for educators. Jennifer McGovney will supply a code for operating the copier as well as other basic office supplies that may be required for instruction; please communicate any special requests you may have in advance. Faculty with current teaching assignments are also provided a mailbox in the Education Studies office that can be used to receive incoming US mail, interoffice mail, student work and correspondence, and any paperwork that might require signatures.
Information Technology (IT) Support
The College of Education Information Technology department, located in the HEDCO Learning Commons (room 110), provides assistance with computers, networks, data management, file sharing, email and related IT issues. More information and contact information is available here.

There are three department-controlled rooms available as meeting and conference spaces. These rooms are available by reservation only, with the assistance of student employees in the Education Studies offices:
Room 119 is a large classroom-style conference room that seats 29 people, with moveable small tables and chairs, an LCD projector, document camera, ceiling microphone, speakers, and whiteboards.
Room 120 is a small conference room that seats 8 around a large conference table, with an LCD monitor and white boards.
Room 124K is a small conference room that seats 12 around a large conference table, with an LCD large-screen display monitor and a white board available.

The last week of regular classes each term is known as Dead Week. During this week preceding final examinations during Fall, Winter, and Spring terms:
- No examination worth more than 20% of the final grade will be given, with the exception of make-up examinations.
- No final examinations will be given under any guise.
- No projects will be due unless they have been clearly specified on the class syllabus within the first two weeks of the term.
- Take-home examinations will be due no earlier than the day of the formally assigned final examination for the class in question.
VI. Instructional Resources and Information
Teaching Engagement Program
The UO Teaching Engagement Program (TEP) supports teachers across rank and discipline, building an imaginative, resourceful, and connected campus-wide teaching culture. TEP creates occasions for faculty to develop and refresh their pedagogy in dialogue with one another, and to engage with campus, national, and scholarly conversations about excellence in higher education. TEP promotes research-led teaching that activates students’ commitment to inquiry and brings faculty expertise to life. Resources and workshop schedules are available on the TEP website; the COE Associate Dean for Academic Affairs and Equity, Krista Chronister, especially recommends incorporating the principles of Universal Design in course instruction and planning.
All instructors are required to provide a course syllabus to students (either a printed version or digitally through Canvas), and to provide a copy to the Education Studies department (please send to Keri Baker at firstname.lastname@example.org). Instructors will be provided with a recommended College of Education course syllabus format, course description, and other required elements. Sample course syllabi are available for reference (contact appropriate undergraduate, master’s or doctoral Program Director for more assistance). The Department of Education Studies supports inclusion of a statement referencing Kalapuya peoples and homeland, whether in a class discussion, on the course syllabus or as an acknowledgment slide in class. In addition to the COE required content, all EDST syllabi must contain an APA style list of required texts, all readings, films, videos, podcasts, and any other instructional media. Any additional materials assigned on Canvas throughout the term also need to be listed APA style and submitted before the end of the term.
Canvas provides a friendly, easy-to-learn course management platform with gradebook, e-mail communication, assignment/learning resource capability and efficient grading functionality. Use your Duck ID to log in to Canvas at https://canvas.uoregon.edu. Tips and QuickStart checklists for setting up your course in Canvas are available here (scroll down the page to find assorted faculty resources), as well as at the Canvas help desk in Room 19, Knight Library (541-346-1942) during business hours (online help is also available for those working off campus). The online Canvas Instructor Guide is available here. Canvas offers many options for instructors; for example, if you teach multiple sections of the same course, you can merge the course sections into one if you would like all students to share the same discussion boards and all students to be in one gradebook. If you need to add a person to your course, for example as a TA, Observer or Evaluator, you will need to submit an email request to the UO Libraries, with the course name/number, the CRN, the name and DuckID of the person, their requested role in the Canvas course, and the reason for adding them.
Entering and submitting grades
The deadline for entering grades is the Monday or Tuesday following finals week each term during the academic year (Tuesday at noon for Fall and Spring terms, and Monday at noon for Winter term). Summer course grades should be entered as soon as possible at the conclusion of the course; the final deadline to enter grades for all summer courses is noon on the second Tuesday of September.
To enter term grades, log into DuckWeb, access your course grade roster(s) using the Faculty Menu, enter grades for each student and submit your final grade rosters to the Registrar. Grades may not be posted publicly, on doors or elsewhere, if a personal identifier (name, UO ID, etc) is linked to the grade. The Office of the Registrar has created a mechanism that can be used by faculty to generate code numbers for students enrolled in their classes. It is available here.
Most University of Oregon courses are evaluated using the CollegeNet Course Evaluation system each term or semester. Summer varies slightly, because courses begin and end on odd schedules. The system opens at midnight on the Friday, (Wednesday in Fall term) before dead week and closes early Monday morning before finals begin, for students on the main campus. Students are notified via their UO e-mail when the online system opens, and are sent reminders during the evaluation period.
Students log into the course evaluation system through DuckWeb, and then pass securely through a portal to the CollegeNet servers, where their evaluation data is gathered and maintained. Anonymity is protected, and access to the results tightly controlled through security permissions. During the evaluation period, students who have not completed or opted out of (declined) each of their evaluations are sent e-mail reminders, asking that they log in and finish their evaluations. Courses that have not yet been evaluated are listed on the reminders.
Students who either answered or opted out of all of their evaluations will be able to see their grades as they come in during the grading period. Students who did not complete all of their evaluations will have to wait to access their grades and transcripts until the Friday following the final grading deadline (i.e., a week after finals conclude). All grades and transcripts from all terms are affected by the grade hold, not just those of the active term. After grades are processed and the grading system is closed at the end of each term or semester, student grade holds are lifted, making grades and transcripts again available to all students.
After grades are processed, online course evaluation data becomes available to faculty. Faculty are notified via e-mail when reports are ready for viewing. Faculty log into the system through DuckWeb, clicking on Course Evaluations in the main menu, which allows them to pass securely through to the CollegeNet servers to view their evaluations. From the Teaching Standards and Practices Commission edTPA information site:
What is the edTPA? The edTPA (educative Teacher Performance Assessment) is an assessment process that requires teacher candidates to demonstrate they have the skills to help all students learn. The edTPA is implemented, scored, and reported on by SCALE and is a PEARSON assessment.
In August 2013, the Secretary of State’s office published an audit of Oregon teacher preparation entitled: “Education: Additional Resources Need to Improve Teacher Preparation and Professional Development.” The audit findings indicated there was a lack of support in the K-12 field for teacher preparation and the state did not have any definitive evidence to “prove” that new teacher candidates met rigorous standards for preparation.
The Commission adopted edTPA as the required performance assessment for all initial teacher preparation programs as a program completion requirement. FAQ about the edTPA can be found at the Teaching Standards and Practices Commission site.

The edTPA resource site is a central hub for students, faculty, and mentor teachers to access the information they need to prepare for the edTPA. VII. Student Supports and Guidelines
Student Academic Services in the College of Education supports students with academic advising, information on degree and licensure requirements, university policies and procedures and other resources to support students in achieving their academic and career goals. UO Student Support is available to help students build relationships and find support from peers. Students who have missed classes, who are struggling with homesickness, depression, anxiety, financial stress, issues of diversity and inclusion, academic challenges or any kind of crisis can find assistance here. https://studentlife.uoregon.edu/support
The Dean of Students maintains the UO Student Conduct Code as well as a 24-hour safe hotline for survivors of sexual assault at 541-346-SAFE, staffed with a counselor who can connect students with confidential resources. The recently revised UO Title IX policy that UO employees must follow when a student discloses sexual harassment, including sexual or gender-based violence, is explained here and can be found in full text here.
The UO Accessible Education Center facilitates and supports access and inclusion for students with disabilities. A range of academic accommodations, including exam adjustments, sign language interpretation, classroom relocation and adaptive technology services are available for students who register with the AEC. VIII. Student Privacy and FERPA
The Family Educational Rights and Privacy Act (FERPA) is a Federal law that protects the privacy of student educational records. FERPA rights transfer from parents to students when they reach the age of 18 or attend the University.
The UO Office of the Registrar is responsible for FERPA compliance and maintenance of student records. Staff and faculty with access to student education records are legally responsible for protecting the privacy of the student by using information only for legitimate educational reasons to instruct, advise, or otherwise assist students. FERPA also assures certain rights to students at the university regarding their education records. These rights do not transfer to parents, guardians, spouses or other family members without the specific written permission of the student.
Only those student records defined as Directory Information may be released without the express written permission of the student. Directory information includes
- student name
- local and permanent addresses
- e-mail addresses
- telephone numbers
- class level and type
- enrollment status (e.g., full-time or part-time)
- academic major and/or minor
- dates of attendance
- the fact that the student is or has ever been enrolled
- total earned credit hours
- degrees and certificates awarded
- honors awarded
- status as a Graduate Employee (GE) and teaching assignment, if applicable
No other information contained in a student's educational records may be released to persons or organizations without the student's prior written approval. A student may restrict release of all Directory Information by filing a Restriction of Directory Information form with the Office of the Registrar; once a Restriction is in place, no information of any type about the student may be discussed with anyone other than the student, in person, presenting a photo ID.
FERPA and Letters of Recommendation
Students who request letters of reference or recommendation from University of Oregon faculty or staff members need to do so in writing. Such letters or statements are most effective if they contain specific information about academic or work performance; this type of information is considered "non-directory" information and cannot be released without the signed written consent of the student, according to the Family Educational Rights and Privacy Act (FERPA) and the University of Oregon Student Records Policy. The Office of the Registrar has composed a FERPA-compliant authorization to release form that may be used by students when requesting references/recommendations. Educational Foundations has a FERPA release within their EDST instructor recommendation form. If you are writing a letter of recommendation for a student applying to EdF, please ask Keri Baker for the form.

Williams Instructional Proposals
The Williams Council invites proposals from individuals and groups of faculty to develop learning experiences that actively engage undergraduate students. Proposals due February 1.
The council seeks nominations for career and tenure-track faculty who have demonstrated an extraordinary commitment to undergraduate education by challenging students academically, creating inclusive learning environments and striving to enhance the learning experience through innovation and collaboration. Nominations due February 1.
The Distinguished Teaching Awards
The university’s highest teaching honors, this suite of six awards recognizes early-career and senior faculty members in the career or tenure tracks who demonstrate inclusive, engaged and research-led teaching, either in face-to-face or online environments. Nominations due February 9.
The UO Excellence in Undergraduate Advising Awards
In recognition of the significant role undergraduate advising/mentoring plays in fostering academic excellence at the University of Oregon, the Division of Undergraduate Studies and the All-Campus Advising Association (ACAA) collaborate on an awards program to honor faculty and professional advisors at UO.
One faculty advisor and one professional advisor will each receive a $2000 award. Nominate a great advisor for their important work today! Nominations due February 15.
